Stop Business Calls Being Flagged As "LIKELY SPAM"

Business Caller Reputation Kit

Proven strategies to keep your calls trusted & connected

1. The Known Caller Strategy

The single most effective way to bypass spam filters: become a “known” caller. When a customer saves your business number to their device, it adds you to their allowlist, ensuring your name appears clearly and your calls are never silenced or sent to voicemail.

Proactive Step: Send an onboarding or follow-up email to every customer asking them to save your number.

Subject: Make sure you never miss an update from [Your Company Name]

Hi [Customer Name],

To ensure our team can reach you regarding your [account/order/service] without our calls being accidentally blocked or silenced by your mobile carrier, please take a moment to add our business number to your phone’s contacts:

📞 [Your Business Phone Number]

Saving our number ensures that our calls show up clearly as “[Your Company Name]” rather than being flagged as “Potential Spam” by automated carrier filters.

We look forward to staying in touch!

Tip: Customize placeholders and add a direct “Add to Contacts” link if your CRM supports vCard.

2. Healthy Calling Habits

Monitor Your Volume

Aim to keep outbound calls below 75–150 calls per number, per day. High daily volume often triggers spam flags.

The 30‑Second Rule

Short calls (under 30 seconds) are a major red flag. Meaningful, two-way conversations prove you're a legitimate business caller.

Ensure each call has genuine interaction; avoid rapid hang-ups.

Avoid "Batch" Dialing

Placing a massive number of calls in a short window (e.g., 50 calls in 5 minutes) triggers automated “burst” filters.

Space out your dialing naturally, just like a real human conversation flow.

Carrier algorithms watch for short calls, high velocity, and burst patterns — consistent spacing protects your reputation.

3. Register with the Free Caller Registry

To protect your outbound caller ID reputation, register your business numbers with the Free Caller Registry. This centralized portal shares your business info with the three major carrier analytics providers: Hiya, First Orion, and TNS. Registration helps them recognize your numbers as legitimate and trusted.

Need help with registration? Carolina Digital Phone is here to assist. Our Support Team can walk you through submitting your numbers to the registry.

4. What to Do If You Are Flagged

Despite best practices, false positives can still happen. If a customer reports your call as “Spam Likely” or “Scam Risk”, follow these steps:

1. Identify the Carrier – Ask which mobile provider the customer uses (AT&T, Verizon, T-Mobile, etc.).

2. Contact our Support Team – Reach out to Carolina Digital Phone immediately. We will initiate a formal dispute with the carrier’s analytics department to have the spam label removed.

Typical resolution: The dispute process takes 3-5 business days. We handle the heavy lifting.
